Job description

  • Project Management Skills: Demonstrated experience in project management, including planning, scheduling, budgeting, and resource allocation.
  • Industry Knowledge: Familiarity with the fit-out industry, including construction methods, materials, and best practices for interior design and space utilization.
  • Stakeholder Management: Ability to effectively communicate and collaborate with clients, architects, designers, contractors, and suppliers to ensure alignment and successful project delivery.
  • Contract Management: Experience in negotiating and managing contracts with subcontractors, vendors, and suppliers, including procurement of materials and services within budgetary constraints.
  • Regulatory Compliance: Understanding of building codes, safety regulations, and other legal requirements relevant to fit-out projects and ensuring compliance throughout the project lifecycle.
  • Critical Thinking Skills: Proven ability to identify and address challenges and obstacles that may arise during the project, employing creative solutions to keep the project on track.
  • Quality Control: A focus on maintaining lofty standards of quality throughout the project, including attention to detail and adherence to design specifications.
  • Risk Management: Experience in identifying, assessing, and mitigating risks associated with fit-out projects, including issues related to scheduling, budget, and resource availability.
  • Team Leadership: Strong leadership skills to motivate and manage project teams, ensuring clear roles and responsibilities are defined and accountability is maintained.
  • Client Relationship Management: Ability to build and maintain positive relationships with stakeholders, understanding their needs and expectations and providing excellent customer service throughout the project lifecycle.
  • Time Management: Effective time management skills to prioritize tasks, manage deadlines, and keep the project on schedule.
  • Adaptability: Flexibility to adapt to changing project requirements, unforeseen challenges, and evolving client needs while maintaining a focus on project objectives.
  • Financial Acumen: Understanding of financial principles and experience in managing project budgets, tracking expenses, and forecasting costs accurately.
  • Technology Proficiency: Familiarity with project management software and other technology tools used for scheduling, budgeting, communication, and collaboration.

Project Planning

  • Develop a comprehensive project plan outlining objectives, scope, schedule, budget, resources, and milestones.
  • Identify key deliverables and define project tasks and responsibilities.

Stakeholder Engagement

  • Establish communication channels with stakeholders including clients, architects, designers, contractors, and suppliers.
  • Conduct regular meetings and updates to keep stakeholders informed and engaged throughout the project.
  • Establish a Project Steering Committee to present the status report to Management
  • Update EPMO Portfolio Status Report as per Head of EPMO guidance

Budget Management

  • Develop and manage the project budget, including cost estimation, tracking expenses, and forecasting costs as per budget approved by BP
  • Monitor expenditures and identify opportunities to optimize costs without compromising quality.

Schedule Management

  • Develop and maintain a project schedule, identifying critical path activities and key milestones.
  • Monitor progress against the schedule, identify potential delays, and implement strategies to keep the project on track.

Risk Management

  • Identify potential risks and uncertainties that may impact project delivery.
  • Develop risk mitigation strategies and contingency plans to address potential issues as they arise.

Quality Assurance

  • Establish quality standards and ensure adherence to design specifications and industry best practices.
  • Conduct regular inspections and quality checks to maintain high standards of workmanship.

Procurement and Supply Chain Management

  • Procure materials, equipment, and services required for the project, ensuring timely delivery and cost-effectiveness along with Procurement team
  • Manage relationships with suppliers and subcontractors to ensure they meet project requirements.

Contract Administration

  • Negotiate and manage contracts with subcontractors, vendors, and suppliers.
  • Ensure contract terms and conditions are met and resolve any disputes or issues that may arise.
  • Monitor and control third-party construction vendor procured to execute the fit-out work and any other third-party stakeholders required to deliver the scope.

Change Management

  • Respond to changes in project scope, schedule, or budget in an initiative-taking and systematic manner.
  • Assess the impact of changes and communicate effectively with stakeholders to minimize disruption.

Documentation and Reporting

  • Maintain accurate project documentation, including contracts, drawings, permits, and change orders.
  • Generate regular progress reports and updates for stakeholders, highlighting achievements, challenges, and areas of concern.

Client Communication and Satisfaction

  • Maintain regular communication with stakeholders to address their concerns, provide updates on project progress, and ensure their satisfaction with the final outcome.
  • Seek feedback from clients throughout the project lifecycle and adjust as necessary to meet their expectations.
  • Experience: Minimum of 7 years’ experience within the fit-out industry, including construction methods, materials, and best practices for interior design and space utilization in GCC region
  • Language: English (mandatory), Arabic (mandatory).
