Summary

  • The Maintenance Supervisor is responsible for overseeing the maintenance, upkeep, and operational performance of the owner’s private villas, offices, and commercial property in Dubai.
  • The role ensures that all properties are maintained to the highest standards through effective preventive maintenance, contractor management, project coordination, budget control, and the timely resolution of maintenance issues. The successful candidate will manage day-to-day maintenance operations across multiple locations, coordinate contractors and service providers, supervise improvement projects, and ensure that all facilities remain safe, functional, compliant, and well-presented at all times. This role requires a proactive and hands-on individual with strong technical knowledge, excellent communication skills, critical thinking abilities, and conflict resolution skills to handle unforeseen project risks or delays. The individual must provide regular updates, maintain accurate records and logs of all work undertaken (ensuring all activities are recorded in a timely manner and reflect the most up-to-date information), actively communicate with property owners in a professional manner, drive maintenance activities through to completion, and demonstrate a strong sense of ownership and accountability. Furthermore, the role requires an individual who is quick on their feet and able to make efficient and well-informed decisions in a timely manner. The successful candidate should represent the best interests of the property owners and ensure that all work is carried out to the highest standards while delivering the best value in terms of cost and quality.

Key Responsibilities
Property & Facilities Maintenance

  • Oversee all routine, preventive, corrective, and emergency maintenance activities across private villas, offices, and commercial premises.
  • Ensure the effective operation and maintenance of HVAC, electrical, plumbing, irrigation, landscaping, swimming pool, water systems, and structural infrastructure.
  • Conduct regular property inspections to identify maintenance requirements and implement preventive measures.
  • Maintain all properties to the highest standards of functionality, appearance, and safety.
  • Respond promptly to maintenance emergencies and coordinate corrective actions. Work Order & Maintenance Administration
  • Manage maintenance requests from initiation through completion.
  • Maintain a structured system for tracking maintenance activities, work orders, inspections, quotations, approvals, invoices, and contractor reports.
  • Ensure maintenance records are accurate, up to date, and properly documented.
  • Monitor outstanding actions and follow up to ensure timely completion. Contractor & Vendor Management
  • Source, evaluate, negotiate, and manage contractors, suppliers, and service providers.
  • Develop contractor evaluation criteria and present recommendations for selection.
  • Supervise contractor performance and verify quality of work prior to approval and payment.
  • Ensure contractors comply with safety, insurance, and contractual requirements.
  • Establish and maintain a reliable network of qualified service providers. Projects & Property Improvements
  • Coordinate refurbishment, upgrade, and improvement projects across all properties.
  • Obtain quotations, evaluate proposals, and manage project budgets and timelines.
  • Monitor project progress, quality standards, and contractor performance to ensure successful delivery.
  • Identify opportunities for property enhancements, cost savings, and operational improvements. Communication, Reporting & Stakeholder Management
  • Serve as the primary point of contact for all maintenance-related matters.
  • Communicate effectively with property owners, management, contractors, and service providers.
  • Provide regular updates on maintenance activities, project progress, risks, delays, and resolutions.
  • Take ownership of issues from identification through completion and proactively drive resolution.
  • Prepare weekly and monthly maintenance reports, highlighting completed work, outstanding actions, risks, and planned activities.
  • Ensure management has clear visibility of maintenance priorities and property status. Health, Safety & Compliance
  • Ensure all maintenance activities comply with applicable health, safety, environmental, and regulatory requirements.
  • Conduct regular safety inspections and risk assessments.
  • Implement corrective actions to address identified risks and compliance gaps.
  • Maintain accurate compliance records, certifications, maintenance schedules, and service documentation.
  • Escalate safety concerns, operational risks, and compliance issues promptly.

Candidate Profile Experience

  • 3–5 years of experience in property maintenance, facilities management, villa operations, or a similar role.
  • Experience managing luxury residential properties, offices, and contractor networks.
  • Experience coordinating maintenance activities across multiple locations.
  • Experience with maintenance reporting, budgeting, and operational planning.
  • Experience sourcing contractors, developing evaluation criteria, and managing tender or quotation processes.

Essential Requirements

  • Strong contractor and vendor management experience.

  • Proactive, hands-on, and solution-oriented mindset.
  • Strong problem-solving and decision-making capabilities.
  • Proficiency in Microsoft Office and maintenance management systems.
  • Ability to maintain accurate records and provide timely reporting.
  • Valid UAE Driving Licence (Mandatory).

Preferred Qualifications

  • Experience managing luxury villas and high-end residential properties.
  • Facilities Management, Engineering, or Technical Certification.
  • Knowledge of sustainability initiatives and energy-efficiency projects.
  • Arabic, Hindi, or Urdu language skills are an advantage.
  • Willingness to travel regularly between properties across Dubai.
  • Availability to respond to urgent maintenance issues outside normal working hours when required.
