Job Summary:

The Training Administrator will provide end-to-end administrative support for the Driver Remedial Training Program. The role is responsible for coordinating training logistics, maintaining accurate training records, communicating with drivers, Operations, P&C and ensuring all remedial training activities are administered efficiently and on time.

Key Responsibilities

A. Administrative Responsibilities

• Create and manage remedial training sessions in LMS.
• Coordinate training schedules and ensure training rooms are prepared and available.
• Maintain accurate training records, attendance sheets, and supporting documentation.
• Generate and distribute training completion reports and other training-related reports.
• Ensure all training administration is completed accurately and within agreed timelines.

B. Operational Responsibilities

• Contact drivers who do not report for scheduled training sessions and follow up to secure attendance.
• Escalate repeated no-shows and raise absconding reports for drivers who refuse to attend training.
• Coordinate with Operations regarding driver handover for remedial training and post-training completion.
• Monitor daily training schedules and ensure smooth administrative support for all sessions.
• Support trainers with administrative requirements before, during, and after training sessions.

C. Reporting & Documentation

• Maintain accurate attendance records and training databases.
• Prepare daily, weekly, and monthly training reports.
• Ensure all remedial training records & attendance sheet copies are updated in Learning Management System.
• Maintain proper documentation in accordance with company procedures.

D. Stakeholder Coordination

• Communicate professionally with drivers regarding training schedules and attendance requirements.
• Liaise with Operations to coordinate driver attendance, handovers, and training completion.
• Respond promptly to queries from trainers and operational stakeholders regarding remedial training administration.

Qualifications & Experience

Education

• Diploma or Bachelor’s Degree in Business Administration or a related discipline preferred.
Experience
• 2–4 years of experience in an administrative or training coordination role.
• Experience in administration or Learning Management Systems is an advantage.
• Experience within transport, logistics, mobility, or service industries is preferred.

Knowledge & Skills

• Strong proficiency in Microsoft Excel, Outlook, and other MS Office applications.
• Experience using Learning Management Systems (LMS) is preferred.
• Excellent written and verbal communication skills in English.
• Strong organizational and time management skills.
• High attention to detail and accuracy.
• Ability to manage multiple tasks in a fast-paced environment.
• Professional, proactive, and customer-focused approach.

Key Performance Indicators (KPIs)

• Timely creation of training sessions in LMS.
• Training attendance and follow-up completion rates.
• Accuracy of attendance records and training documentation.
• Timely submission of completion and operational reports.
• Timely escalation of driver no-shows and absconding cases.
• Accuracy and timeliness of communication with stakeholders.
